Dear Exhibitor

  • Thank you for looking to support Berkeley Show in its 118th year. The Show very much depends on the support of you

  • coming and participating.

  • Pitches are booked on a first come first serve basics. If you have any special requirements then please let us know

  • before the show. Once your application has been accepted you will be notified by email. An invoice will be issued for

  • payment of the deposit. Balancing invoices will be issued nearer the show date and must be settled no later than 31st

  • May 2024.

  • At the point that we receive payment into our bank account we will be bound by contract so please ensure you have

  • fully read and understood the Terms and Conditions attached.

  • No electricity will be available in the marquees or Farmers Market Area.

  • All other electricity requirements can be arranged with prior agreement.

  • Water will be available from standpipes on the Showground.

  • On show day there will be no vehicle movement after 8:00am and during the day you will be visited by a Steward who

  • will ask to see your relevant and adequate Insurance cover and Food Safety Star rating if necessary.

  • Please ensure that you display your business name and address on the front of your trade stand.

  • We welcome your support and wish that you have an enjoyable and successful day with us on Sunday 30th June 2024.

BERKELEY SHOW TRADE STAND RULES AND REGULATIONS 2024

  • 1. The Trade Stand Application is merely an ‘Invitation to Treat’, the point of contract shall be when the payment is banked.

  • 2. The Organisers of the Berkeley Show reserve the right to refuse entry should any details given on the Application form be incorrect. This is with particular reference to the goods / services to be traded, of which a full and accurate description must be provided. Any material deviation from this description may lead the trader being asked to leave the Showground and any refund will be entirely at the discretion of the Organisers. Suspicion of counterfeit goods being traded or for sale of restricted goods to minors will result in rejection form the Showground.

  • 3. The Organisers cannot guarantee the availability of any particular location within the Showground or Marquees’

  • 4. Access to The Castle Meadow will be 10:00am to 8:00pm on the Friday and 8:00am to 8:00pm on the Saturday before the Show. On Show day access to all areas will be from 6:00am until 8:00am.

  • 5. All vehicles entering the Showground must display a pass. All staff on Show day must present a Pass.

  • 6. All sites must be staged, manned and open to the public from 10:00am to 6:00pm. Vehicles will not be allowed to move on the Showground after 8:00am

  • 7. Sites must be cleared of all rubbish before departure including grass cuttings if the site has been mown.

  • 8. No stand may exceed the size of its allocated site including vehicles, nor may any part of the stand be sub-let or franchised to a third party. Please ensure that marquees, tents, awnings, guy ropes, tows bar’s etc. do not obstruct any adjacent site or stand. Please ensure that contractors erecting tentage or equipment observe this regulation. Gazebos must be weighted and tentage must be securely fastened. The committee reserves the right to ask vendors to remove tentage which may be deemed to cause damage.

  • 9. No exclusivity of trades is offered or implied without prior arrangement.

  • 10. All stands must clearly display their registered business name and address and have comprehensive indemnity insurance to cover all risks. The Society does not accept any responsibility whatsoever for the safekeeping or security of any property. All Exhibitors must be able to prove on demand that they are adequately indemnified to cover all claims and they are reminded that the liability for death or personal injury cannot be disclaimed.

  • 11. No Exhibitor shall call attention to their goods or services with use of any amplification equipment or any machinery or helium balloons that may cause annoyance to other stall holders of livestock. The selling of goods by auction is prohibited.

  • 12. Live animals, birds, fish etc. are not to be offered as prizes nor offered for sale without previous consent in writing.

  • 13. Frequencies of mobile radio equipment must not conflict with Show equipment.

  • 14. Exhibitors are prohibited from selling any food and drink from their stands for consumption on the premises unless written permission has been obtained in advance from the Show Committee and any necessary licences obtained.

  • 15. All Organisations wishing to make appeals for contributions or to operate a draw, raffle, tombola or such like must obtain written permission from the Show Organisers in advance of the Show. In any event appeals will not be permitted outside of the confines of the allocated stand.

  • 16. All Exhibitors must comply with the relevant food safety and health and safety legislation of which they must make themselves aware. Local Authority Environmental Health Star Ratings must be displayed.

  • 17. All persons wishing to remain on the showground overnight must notify the organisers accordingly.

  • 18. SMOKING IS NOT PERMITTED IN THE MARQUEES, TRADESTANDS OR OTHER TENTED AREAS.

  • 19. Any Exhibitor who cancels their reserved site, for whatsoever reason shall forfeit all fees paid and the Society reserve the right to re-let such sites.

  • 20. The Show Organisers retain the right to cancel a booking without reason. In such circumstances the fee paid will be returned in full but no other claims will be entertained. This applies when a trader refuses to accept any space allocated.

  • 21. If the event has to be cancelled, interrupted or curtailed for any reason, the Organisers shall not be liable to make good any loss incurred by any party booked for the event. It is advised that you take out the appropriate insurance protection against risk of cancellation or abandonment.

  • 22. The Show Organisers offer no warranty as to the public response to the Show or the level of business likely to be guaranteed. The Exhibitor should not enter into any contract as a result of any representation or warranty given or made on behalf of the Show Organisers.

  • 23. The Show Organisers disclaim all liability to any accident, injury or loss however caused except for personal injury or death arising from the negligence of its employees or agents.

  • 24. All electrical and gas equipment must be satisfactorily shielded from the public and comply with current health and safety regulations. All traders must supply their own firefighting equipment and brief their staff as to action to be taken in case a fire or emergency. No unauthorised generators will be permitted on site. Electrical equipment must be pat tested.

  • 25. The organisers suggest that the traders should have appropriate insurance against the risk of cancellation of this event.

  • 26. A Challenge Cup will be awarded to the most attractive stand both under and over 6m frontage.

  • 27. If you feel you have been unfairly treated in any way, please make your complaint in writing with 28 days after the Show to the Hon.

  • Potential hazards along with those who may come to harm and then outline the steps you propose
